Salary – £44,199-£56,113 + great benefits

Right now, we’re looking for a Document Governance Manager to join our Energy Infrastructure Solutions (EIS) team. Here you’ll take the lead on digital document management and supporting information management and act as a central contact and source of support, guidance and training across 2 business areas; B2B and City Energy Solutions (CES). You’ll be responsible for administering our project document management system, currently ‘A Site’.

Key responsibilities include

Information management

  • Establishing a Common Data Environment (CDE) to meet both B2B & CES requirements
  • Provide active assistance, training and support to colleagues
  • Acting as CDE Champion to promote the use of digital document management
  • Ensure that documents are being uploaded in the right way, audit, provide feedback and highlight any ongoing issues to management
  • Daily monitoring of the Common Data Environment (CDE) systems in terms of usage range, adequacy & security.
  • Auditing/spot checking physical and digital documents.
  • Promoting the application of new techniques to achieve efficiency savings & risk reduction using digital techniques.
  • Monitoring use and security of digital tools and systems.
  • Assisting with / managing / auditing on-site use of digital tools.
  • Ensuring that all information management tasks are being carried out by the correct staff in a timely manner – provide guidance and mentoring where needed.
  • Monitoring completion of outstanding actions on the CDE systems on a regular basis to ensure correct use of such applications by others & taking action to improve this where necessary
  • Actively promoting digitisation of documents including data & reporting at all levels within the organisation.
  • Acting as an information management ambassador in all interactions. Taking ownership and resolving issues at source where possible. 
  • Ensuring that key project documents are in place & up to date.

Reporting

  • Providing ad hoc and weekly/monthly reports of progress / blockers.
  • Generating new ways of reporting through digital techniques.


  • A good understanding of CDE systems as well as the opportunities they give for increasing integration & productivity.
  • Strong ability to influence and encourage compliant behaviour in all colleagues.
  • Resilience and persistence & the ability to work towards a common goal.
  • Good knowledge of E.ON solutions and the energy market.
  • Ability to work cross functionally, developing key relationships, providing support and constructive challenge as required.
  • A high degree of credibility and ability to influence at all levels.
  • Strong communication skills with the ability to communicate at all levels of the business using appropriate communications mediums.
  • Hands-on mentality, innovative mindset, impetus towards change and improvement.

It would be great if you had

  • Confident in using Asite or similar document management systems.
  • Practical experience with implementing CDE in various organisations and business units.
  • Understanding of/experience of Building Information Modelling (BIM) and the document related aspects of the regulations.

  • The salary for this role is £44,199-£56,113.
  • This role is based from our Westwood office in Coventry with a high proportion of working from home, especially once established in role.
